Client Portal Guide
The Ledger Loom Client Portal gives your clients a branded self-service experience. This guide covers everything your clients need to know — share this page with them.
For accounting firms: You can share this guide directly with your clients. The Client Portal is accessed at your firm's branded portal URL, separate from the staff workspace.
Accessing the Portal
Your accounting firm will send you an invitation email with a link to register for the Client Portal. Click the link to create your account with your email address and a password.
After registration, log in at the portal URL provided by your accounting firm. If you have forgotten your password, use the Forgot Password link on the login page.
Dashboard
The portal dashboard shows an overview of all services your accounting firm is providing to you. For each service, you can see:
- Service name (e.g., "BAS Preparation Q3 2026")
- Current status — where the work is in the process
- Due date — when the work is expected to be completed
- Assigned team member — who at the firm is handling your work
Click on any service to see its detailed task list and progress.
Viewing Tasks
Each service contains one or more tasks. For each task, you can see:
- Task name and description
- Current status (e.g., "In Progress", "Waiting on You", "Completed")
- Due date
- Documents attached to the task
- Questions from your accountant that need your response
Action required: Tasks showing "Waiting on You" need your input — this could be a document upload, a question to answer, or information your accountant needs. Responding promptly keeps your work on schedule.
Uploading Documents
When your accountant needs documents from you (receipts, bank statements, tax documents):
- Navigate to the relevant task.
- Click the Upload button in the documents section.
- Select files from your computer (PDF, images, spreadsheets, and common document formats are accepted).
- The upload is confirmed immediately, and your accountant is notified.
All uploaded documents are stored securely with encryption and are only visible to you and your accounting firm.
Invoices and Payments
Viewing invoices
Navigate to Invoices from the portal menu to see all invoices from your accounting firm. Each invoice shows:
- Invoice number and date
- Line items with services, quantities, and amounts
- Total amount including GST
- Payment status (Unpaid, Paid, Overdue)
Making payments online
For unpaid invoices, you can pay online directly through the portal:
- Open the invoice.
- Click Pay Now.
- Enter your card details. Payments are processed securely via eWay (Australian payment processing).
- You will receive a confirmation email, and the invoice status updates to "Paid" immediately.
Your card details are not stored by Ledger Loom — they are handled directly by the PCI DSS-compliant payment processor.
Secure Messaging
The Messages section provides a secure, private channel between you and your accounting firm. Use it to:
- Ask questions about your services or invoices
- Respond to questions from your accountant
- Share information that doesn't belong in a specific task
Messages are organised in threads. Your accounting firm receives notifications when you send a message, and you receive email notifications when they reply.
All messages are encrypted and stored securely. They are not visible to anyone outside of your relationship with your accounting firm.
Proposals
If your accounting firm sends you a proposal (e.g., for a new service engagement), it will appear in the Proposals section. You can:
- Review the proposal details, scope, and pricing
- Accept or decline the proposal
- Sign electronically — your e-signature is captured securely
You may also receive a direct link to sign a proposal via email, which does not require logging in to the portal.
Requesting a New Service
If you need your accounting firm to perform additional work (e.g., a new tax return, company setup, or advisory work), you can submit a Service Request from the portal:
- Click Request Service from the dashboard.
- Describe what you need.
- Your accounting firm will review the request and follow up with a proposal or confirmation.
Your Profile
Manage your portal account from the Profile section:
- Update your contact details (name, email, phone)
- Change your password
- Manage notification preferences
Security and Privacy
Your data in the Client Portal is protected by:
- AES-256 encryption for all stored data
- TLS 1.2+ for all communications
- Strict tenant isolation — your data is completely separate from other clients
- Australian data residency — all data stored in Azure Australia East
